Monoprix opts for NQI Orchestra to monitor tasks and manage projects


How to improve business processes, the use of IT systems, tasks and their follow-up for arbitration and efficient management? To meet these challenges, Monoprix turned to NQI Orchestra – a collaborative project portfolio management solution. In this case study, we will examine how NQI Orchestra fits in to Monoprix’s needs and requirements.
Company presentation
Monoprix is a French retail giant founded in 1932. It is now part of the Casino group since July 2013. Mainly located in city centers, Monoprix is a precursor of proximity supermarkets in France. The Monoprix Group is made up of approximately 20,000 employees working in supermarkets all over France.

Context and objectives
A project portfolio management and business management tool was implemented within the Information System Department and Organization Department in 2008. This tool only partially met the current needs in terms of business steering. One of the challenges Monoprix faced was to standardize; accelerate and improve business management processes and tasks as well as at the same time track them for arbitration and steering.

The new tool was sought to meet several objectives, for example:

  • Manage business requests
  • Project management
  • Manage and monitor the portfolio of activities (projects and non-projects)
  • Allocate the budget, update it and monitor its consumption
  • Produce reports (project, portfolio of activities)
  • Manage resources, capacity and load plans
  • Track time spent on tasks and activities

Initially, only few departments within Monoprix wanted to use NQI Orchestra to evaluate its efficiency. So, only the Information Systems Department (ISD), the Organization Department (DO) and the Technical Security and Safety Department (TSSD) were within the scope of the project to implement NQI Orchestra. In the future, after a test period any department wishing to follow and manage its activities could use the tool.

NQI Orchestra meets Monoprix’s project portfolio management requirements
To meet these challenges, Monoprix launched a call for tenders in 2014 and they chose NQI Orchestra because it met the specifications and requirements of the company’s management.

What attracted the attention of Monoprix was its ergonomic features, its ability to integrate easily as well as its planning and resource management module. Also, the flexibility of NQI Orchestra to scale, if it was needed for more users or departments, was also appreciated.

Apart from managing and executing projects, NQI Orchestra allows Monoprix to manage schedules, resources and resource requests for IT systems and materials.

Requests for IT systems or material for new projects are made through NQI Orchestra. It is used to schedule their delivery, implementation follow-up over time.  According to the requests the resource manage allocates the resources needed for the implementation and execution of tasks or activities.

The request for IT systems and materials is done according to the tasks per man/day of a project. The project manager gets a global and precise view to see if the IT systems and materials are available for the requested dates.
